PRIMARY FUNCTION:
The Community Outreach Office Assistant provides office management services to the Community Outreach division.
RESPONSIBILITIES:
- Performs reception duties such as screening and receiving visitors and incoming telephone calls. Serves as a resource person for students, faculty, renters, testers, and staff by answering questions about programs and/or services with related forms and/or procedures, or directing questions to the appropriate person and/or department.
- Performs complex office management and clerical functions including, but not limited to, calendar maintenance, meeting coordination, filing, proofreading, and ordering and inventorying office supplies and departmental forms; uses a variety of office and administrative software tools to produce correspondence and spreadsheets, prepares office mailings, prioritizes and/or distributes incoming departmental mail.
- Maintains files, records, enrollments, etc. while protecting the confidentiality, security, and permanency of records.
- Assists with the development of continuing education and VSK courses including, but not limited to: facilitating textbook ordering, organizing, monitoring, and maintaining course information and instruction materials, preparing classrooms for instruction, tracking enrollment, creating certificates, and disseminating class cancellation information.
- Performs student registration duties including, but not limited to: making course recommendations, registering students, processing student paperwork such as drop / add class requests; collection and recording of payment.
- Bills/receives and records revenue and prepares receipts and acknowledgments. Manages deposits.
- Assists with the coordination of Community Outreach initiatives, activities, events, and projects, which may include: coordinating materials, writing correspondence, preparing office mailings, including bulk mailings, making room reservations, coordinating event tickets, creating signage, ordering refreshments, and other duties.
- Assists with daily activities related to departmental budgets.
- May assist with Canton room scheduling for courses or internal/external events.
- Occasionally works evenings to cover classes or events that require a monitor.
- May prepare promotional materials for courses.
- Performs other duties as assigned by the supervisor.
SUPERVISORY RESPONSIBILITIES:
This position has no supervisory responsibilities.
QUALIFICATIONS: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. - A high school diploma or general education degree (GED) is required. An associate degree from a regionally accredited institution is preferred.
- Competency in accounting and mathematics is required, including the ability to add, subtract, multiply, divide, and count units of money.
- One year of related experience is required. Experience in a community college setting is preferred.
- Experience with Microsoft applications and personal computer skills are required with the ability to learn the Spoon River College information system and new programs as technology changes.
- Must possess a high level of confidentiality and accuracy. - Must possess organizational abilities, superior interpersonal skills and client service skills, and verbal and written communication skills with the ability to speak before groups.
PHYSICAL DEMANDS / WORK ENVIRONMENT: The physical demands and work environment described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
Physical demands for this position include the ability to regularly sit, use hands and fingers, talk and hear. This position requires limited standing, walking, reaching, stooping/kneeling. Vision requirements for this position include close vision including the ability to view text from a computer monitor.
The work environment for this position includes a typical office environment with no extremes in temperature, noise, and limited physical risk.
